GENERAL TERMS AND CONDITIONS WITH RESPECT TO THE LEO EUROPA FORUM 2022 (“LEF 2022”)

These General Terms and Conditions are applicable to any Participant of LEF 2022 (“Participant“).

 

By “you” or “your” we mean the “Participant”.

 

By “us”, “we”, and „LEF“ we mean Leo Europa Forum 2022, being a non-profit association registered in Austria under the association register number (“ZVR-Nummer”) 1864518659 and having its registered office at Mollardgasse 48A, 1060 Vienna, Austria.

 

By registering for an event or conference organized by LEF, you are agreeing to comply with these terms and conditions. You should therefore read this document carefully.

1. General

The Participant for the LEF 2022 must have reached the age of 18 before August 20, 2022.

 

The Participant agrees to follow and respect the house rules of Eventhotel Pyramide Vösendorf, Parkallee 2, 2334 Vösendorf, Austria.

 

The LEF and LEPF 2022 organizing committee (“Orga-Team“) reserves the right to exclude individual Participants from parts or the entire LEF 2022 program if they behave violently or disrespectfully towards other Participants, the Orga-Team, volunteers, hotel staff or any other guests, or if the Participant was banned at a previous LEF. This is to the judgment of the Orga-Team only.

 

The Participant confirms that all statements made in the registration form are correct. Additional costs that might occur by providing false information in the registration are the responsibility of the Participant.

2. Liability

The Participant attends LEF 2022 at his/her own risk and responsibility. The Orga-Team, the hotel, hotel staff and the volunteers can under no circumstances be held liable for any damage caused by the Participant nor for theft and/or damage of belongings, or other damages.

 

The Participant shall be held personally liable for any damage caused by the Participant, including but not limited to damage caused to the hotel (building), materials, or other attendees.

3. Registration

Registration for the LEPF 2022 can be completed upon:

 

  • Normal Registration from April 2, 19:00 CEST to May 31, 2022 midnight CEST
  • Early Registration for DL & ILOs starts April 1, 19:00 CEST

 

Registration fees:

  • Double room: EUR 650
  • Single room: EUR 900
  • For participants born before August 20, 1987 , a surcharge of EUR 350 is applied

 

Limitations:

At the beginning of the registration, a maximum of 15 spots (incl. ILO & DL) are available for every European delegation. For all other delegations there is a maximum of 15 available spots altogether.

 

Initially, registration opens with 160 spots. If necessary, a maximum of 200 spots will become available.

 

Upon submission of the LEF 2022 registration, the Orga-Team will process the submission. If the submission is approved, a spot will be reserved for the Participant and an email with payment instructions will be sent to the Participant. If the submission is rejected, the Participant will receive a rejection email. In case the submission is approved but no more spots are available, the Participant will be placed on a waiting list and will be informed accordingly about the next steps.

 

The registration is deemed to be completed upon receipt of the full participation fee on the LEF2022 bank account.

 

If the payment has not been credited to the LEF 2022’s bank account within 14 calendar days after having received the confirmation email, the registration will be withdrawn and the registration spot will become available to other applicants (primarily to the ones on the waiting list). It’s the Participant’s responsibility to pay the participation fee. The Orga-Team can under no circumstances be held liable for any costs or expenses.

 

All payments have to be made free of charge to the LEF 2022 and by bank transfer to the official bank account of the LEF 2022. Within two weeks after having received the payment, the Orga-Team will send a confirmation of receipt to the Participant.

If there are any fees for receiving the bank transfer, they are to be paid upon arrival.

 

Only bank transfer payments will be accepted.

4. Covid-19 Safety Measures

The terms and conditions for security measures required in connection with the COVID-19 pandemic reflect the status as of the date listed at the top of the page. Due to official or other requirements after this date, the conditions for ticket purchase and event attendance may change on an ongoing basis. If possible, LEF will inform you of such changes. In any case, it is your own responsibility to inform yourself about the latest developments and possible entry regulations for Austria.

The Participant is required to comply with the safety regulations. Violation of these safety regulations may, if necessary, result in the Participant being refused entry or being asked to leave the venue. In this case, the Participant will not get any refund and will bear all additional costs and expenses him-/herself.

 

LEF accepts no liability in the event of contagion or consequential damage resulting thereof. This does not apply to infections caused by gross negligence of the Orga-Team.

 

Attendance of the event and stay in the venues is at your own risk!

 

In the event a Covid-19 outbreak makes it impossible to hold events, LEF reserves the right to unilaterally cancel the purchase contract. Any costs incurred (hotel, travel, …) are to be borne by the Participant. In this case, LEF will make every effort to inform the Participant in good time, provided that contact details have been made available.

 

Program changes made due to travel restrictions do not entitle the Participant to any sort of refund.

 

Participants undertake to immediately inform the Orga-Team of any symptoms of illness during or up to 14 days after the end of the event.

5. Cancellation

Cancellation of LEPF registration is possible until May 31, 2022. In any case, a fee of EUR 20,- for administration costs will be applicable. After the specified date, the LEPF 2022 has a no-refund policy. Requests for a refund after May 31, 2022 will be dealt with by the Orga-Team on a case-by-case basis. In all cases, requests for a refund have to be made via email to info@lef2022.org.

 

Refunds are granted via bank transfer for EU accounts only. For refunds on non-EU accounts, please double-check possibilities with the Orga-Team directly.

6. Additional Fees / Visa applications

We only issue an invitation letter after having received the full payment for the registration, which is mandatory after registration. If a participant’s visa application is rejected, he/she will get a refund of the registration fee which was paid until then, except for EUR 20,- in incurred administration costs.

 

Requests for a refund after May 31, 2022 will be dealt with on a case-by-case basis.

7. How we will use your information

We are committed to data privacy and protecting your personal information. Information on how LEF collects, processes, and uses your data is included in the LEF 2022 Privacy Policy, which is hereby incorporated into these Terms & Conditions. Additionally, by submitting your e-mail address during the event registration process, you agree that LEF and its event partners are allowed to send you event-related information. A valid e-mail address is required for all registrations.

We use the personal data you provide in this registration for administering your participation in the event. This may include information about the event’s content, event logistics, payment, updates, and additional information related to the event.

We may disclose your personal data to third-party service providers affiliated with LEF to assist in the conduct of the event (e.g. hotel). The information you provide when registering for or participating in an event managed or co-sponsored by parties other than or in addition to LEF may be shared with those parties, and the treatment of such information is further subject to the privacy policies of those parties. Except as described herein, LEF will not disclose your personal data to any other third party without your consent, except where required to do so by law.

8. Event conduct and safety

We are committed to providing a safe, productive, and welcoming environment to all participants, including the Orga-Team and hotel employees. We do not tolerate any forms of discrimination, harassment, or bullying at LEF 2022-related events. Participants are expected to adhere to these principles and respect the rights of others.

The use of drugs, other than alcohol, is forbidden during LEPF 2022.
The Participant will follow any instructions or orders given by the Orga-Team, volunteers or hotel staff. In the event that the Participant fails to follow these instructions, resulting in loss or damage, including but not limited to damage caused to the hotel (building), materials, or other participants, the participant will be held liable for said loss or damage.

In case an Orga-Team member or hotel employee suspects a breach of the event conduct and/or safety regulations, the Orga-Team reserves the right to exclude the participant immediately from the event and will need to leave the hotel.

In this instance, the participant will not get any refund and will bear all additional costs and expenses him-/herself.
What to do if you witness or are subject to unacceptable behavior: Participants should report any behavior inconsistent with these principles to the Orga-Team. The Orga-Team will be happy to help participants contact venue security or local law enforcement, provide escorts, or otherwise assist those experiencing harassment to feel safe for the duration of the event. We value your attendance.

9. Usage of photographic and video material taken at LEF events

To comply with global data privacy laws, LEF 2022 imposes certain restrictions on the use of multimedia at its events (e.g. photography, video, audio, online streaming, and all future mediums). An attendee is permitted to use hand-held cameras and/or smartphones to take photographs and capture digital images for personal, non-commercial use, provided the photography is not disruptive. Photographs may not be published, sold, reproduced, transmitted, distributed or otherwise commercially exploited in any manner whatsoever.

 

LEF may hire professional service providers (photo/video/streaming/audio) to document and display the event experience. LEF may also use social media (e.g. Instagram) to: (i) post real-time photos and videos on its social media feeds; and (ii) display select submissions from those feeds on monitors throughout the event venue. Participants and sponsors are encouraged to capture their event experiences and post their own social content from the event (text, photos, audio, video, streaming), provided it does not infringe the rights of any attendee, sponsor, third party, or LEF. Such infringement would include, but is not limited to, defamation or infringement of intellectual property rights. In the event an attendee requires a release or permission to protect the rights of a third party, obtaining such a release or permission shall be the sole responsibility of the attendee.

 

By attending the event, you acknowledge and agree as follows: (a) LEF may edit and use footage it captures at the event for marketing and promotional activities and for any other lawful purpose in the ordinary course of its business; and (b) due to the prevalence of mobile recording devices in today’s world, LEF disclaims all liability for the capture of your image in any multimedia format by other attendees at the event.

10. Other

LEF reserves the right to change, amend, add or remove any of the above Terms & Conditions provisions in its sole discretion and without prior notice. In case one or more of the conditions outlined in these Terms & Conditions become invalid, the remaining conditions will continue to be valid and apply. These Terms & Conditions apply to all event participants (attendees, speakers, sponsors, exhibitors).

 

The views expressed by any event attendee, speaker, exhibitor, or sponsor are not necessarily those of LEF. All attendees, speakers, exhibitors, and sponsors are solely responsible for the content of all individual or corporation presentations, marketing collateral, and/or advertising.

 

These Terms and Conditions are subject to the Austrian legal system. For disputes regarding the applicability or interpretation of these Terms and Conditions, the jurisdiction of the District Court for Commercial Matters Vienna is agreed.
